2A. WhatsApp messaging (Boxly / WhatsApp Business Platform)
We may contact you via WhatsApp to provide service communications such as appointment confirmations, reminders, follow-ups, responses to enquiries, and patient support updates. Where you have opted in, we may also send WhatsApp messages that are marketing-related (for example, information about services, offers, or practice updates). These messages are delivered using Boxly (boxly.ai), an external CRM and automation provider that we use to organise and manage patient communications, and the WhatsApp Business Platform (Meta/WhatsApp Business API).

What data is processed for WhatsApp communications. This may include your name, mobile phone number, message content and metadata (such as delivery/read status), and—where relevant to your enquiry or booking—basic administrative details needed to support your request (e.g., appointment-related information). Boxly may also use approved WhatsApp message templates and personalisation fields (e.g., name and contact details) to send automated messages in line with WhatsApp policy (including the use of templates for outbound messages and for messages sent outside WhatsApp’s 24-hour customer service window).

Roles and third parties. For WhatsApp communications, EB Dental acts as the data controller. We use Boxly as a data processor/service provider to help us send and manage messages. WhatsApp/Meta processes certain personal information as our processor for the purpose of delivering WhatsApp Business services, as described in the WhatsApp Business Terms and WhatsApp Business Data Processing Terms.

Lawful basis. Where WhatsApp messages are necessary to manage your enquiry, appointment, or patient communications, we process your personal data on the basis of our legitimate interests and/or to take steps related to a service you requested. Where WhatsApp messages are marketing-related, we will only send them where you have provided a valid opt-in/consent (and you can withdraw this at any time).

Opt-out. You can stop receiving WhatsApp messages at any time by contacting us using the details in Section 9 of this Privacy Statement. Where available, you may also use in-message options or reply instructions provided in the WhatsApp message to opt out of future non-essential communications.

International transfers. WhatsApp/Meta may process data globally. Where this involves transfers that are subject to the UK GDPR, appropriate safeguards apply as described in WhatsApp’s UK data transfer documentation.
